A worldwide engineering firm is seeking a Receptionist.
This position will be the first point of contact for visitors and will use organizational and interpersonal skills to deliver timely and exceptional service and support.
This position provides general office support with a variety of clerical activities and related tasks.
The receptionist will be responsible for answering incoming calls, directing calls to appropriate personnel, greeting and directing guests, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties
Maintain appearance of reception desk and oneself as first impression of the company
Greets and directs visitors in a professional and polite manner consistent with the company standards
Provide appropriate badges to visitors determined by scope of work. Maintain history and current visitor sign-in book and badge security log book
Answers telephones and directs the caller to the appropriate personnel, including transfer of calls, redirection to other personnel and/or screening of calls
Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information
May arrange transportation services for visitors as needed
Receive, sort and forward incoming mail. Maintains and routes publications and updates mailbox labeling as needed
Create shipping labels and coordinates package/parcel pick-up and delivery (FedEx, UPS, certified mail, etc.), including use of software system
Assist administrative staff with miscellaneous documents and spreadsheets, including document control, travel arrangements, etc
Responsible for data entry, typing, photocopying, faxing, scanning, filing, collating and other basic office functions
Maintain necessary supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting supply orders; verifying receipt and maintaining an orderly storage system
Schedule conference rooms, assist employees with personal schedules as requested
Update information on TV monitors within lobby and common areas as needed
Update cubicle identification cards as needed
Performs other duties as assigned
High school diploma required, AS Degree preferred with 2-5 years of related experience.
Excellent English communication skills required. Must be professional.
Knowledge of Microsoft Office (Word, Excel and Powerpoint) required.
Knowledge of Google Software (Mail, Drives, Hangouts, etc) preferred.
Hours are Mon-Fri 8a-5p.
Additional Salary Information: Negotiable
