ORGANIZATION: We are looking for an Administrative Assistant to provide support to the Accounting / HR and Payroll departments of a large company for the New Castle headquarters. This person is going support multiple people in a fast paced department: will need to be quick on the uptake; able to listen and take notes, take initiative and ask questions. This position will pay around $16.00 - $18.00 per hour and has a benefits package. The work schedule of the position is Monday – Friday 8:00 am to 5:00 pm.
POSITION: Reporting to the Controller, duties will include: • Providing a wide variety of Administrative Assistant support to include creating, typing, and filing memos, postings, letters and presentations, including the handling of confidential information. • Coordinate bank accounts. • Scanning permanent records. • Handling international payments. • Posting / distributing electronic receipts to subsidiaries. • Providing back up for lockbox posting and distribution to related subsidiaries. • Providing back up support for weekly accounts payable payments. • Handling information requests sent out to the various divisions. • Sorting / distributing mail. • Ordering and putting away supplies for corporate employees. • Filing documents. • Organizing meetings to include order, set up and cleanup of food and beverages. • Providing back-up for Executive Assistant as needed. • Other special projects and administrative duties as necessary.
REQUIREMENTS: • Associates degree in Business or Accounting preferred. • 1 – 3 years of administrative experience. • Combination of administrative and some accounting experience helpful. • MS Office proficient (Word, Excel, Outlook). • Proactive in nature • Ability to work in a fast paced environment. • Must be confident enough to ask questions and clarify when needed. • Must be able to pass a pre-employment criminal background check and drug screen.
