SUMMARY We are currently working with an independent financial planning business to identify an Administrative Assistant who will be the primary support person to one financial advisor, and provide support as needed to a lesser degree to other financial advisors. This is a small laid back, newly remodeled office environment with a good sense of humor.
Applicants interested in either full time or part time work are encouraged to apply, as this business is flexible to hire someone who can work anywhere from 30 to 40 hours a week. Must be able to work a minimum of 30 hours per week. This is a direct hire opportunity.
We’re seeking a good natured person with a sense of humor who is proactive in nature, naturally looks to see what else can be done during downtime, and can tackle projects as they come up which will improve the flow and efficiencies of the office (i.e. cleaning up filing system, scanning/uploading documents to the cloud, populating a CRM system, etc.). The most important asset this person will possess is their strong attention to detail and accuracy of their work.
The Administrative Assistant will provide support mainly to one financial advisor in the office. While experience in the financial planning industry is a major plus, this business is open to candidates who have a strong administrative background but haven’t worked in the financial planning industry, and are willing to train this person to assist with additional tasks such as performing occasional trades, performing data input into financial planning software, and learning the functions of a trading/advisory software.
POSITION General Duties to include: • Answering phones, forwarding and screening calls, filing, preparing various mailings • Preparing new account documents • Servicing minor issues for clients (i.e. “I need a form” or making financial advisors aware of clients who have a more immediate need when they are out of the office) • Scheduling client reviews and meetings • Preparing financial advisor with materials needed for meetings and for retirement classes • Greeting all incoming visitors • Developing and populating a CRM system
REQUIREMENTS • Associates or Bachelor’s degree preferred, but not required. • 8+ years of similar administrative experience. • Experience in the financial planning industry would be a plus, as is any licensing associated to the financial planning industry, but not required. • Proficient with MS Office programs. • Experience using a CRM helpful but not required. • Experience using industry specific programs, such as Net Exchange, Orion, Smartworks, Moneyguide Pro helpful, but not required. • Must be able to pass a pre-employment criminal background check, drug screen, and credit check. • Candidate will be fingerprinted prior to starting to comply with industry requirements.
