High School graduate required; business curriculum preferred
Minimum 2 years of experience in a professional office environment required; 3 years of experience in a professional office environment preferred
Administrative experience in a Human Resources department preferred.
Strong Microsoft products skills in Word and Excel with the ability to import and export data quickly and accurately required.
Experience with PeopleSoft or another automated HR system preferred.
Maintains and runs spreadsheets and system generated reports integral to the effective functioning of the department including vacancy reports, requisitions (received and closed), separations, employee referral report, ad log, college recruiting, etc.; generate weekly, monthly or as needed.
Assists Human Resources Representatives with the recruitment process including scheduling interviews; posting positions on external job boards as requested, handling the post-hire correspondence for reference check requests and credential verifications; inputting candidate and new hire data into PeopleSoft; preparing personnel files, coordinating relocation for new hires and transfers; and, following up on any outstanding issues such as references, education verifications, etc.
Coordinates the requests for temporary assistance and serves as the primary administrative contact for contractor requests; send correspondence and updated handbook information to employee upon change in exemption status.
Processes all recruitment and miscellaneous invoices, reviews and verifies their accuracy.
Makes travel arrangements and prepare expense reports and/or check requests for department personnel as requested.
Assists with college recruitment/relations programs; includes scheduling appointments, preparing materials and coordinating travel arrangements for recruiters and/or candidates. Assist with the coordination of interns.
Responsible for standard administrative functions such as answering phones, delivering mail, filing, maintaining the ES/ER recruitment and personnel files. Serve as backup to the Human Resources Assistant / Receptionist and the Senior Administrative Assistant to the Sr. Vice President of Human Resources.
Process voluntary separation paperwork and schedule exit interviews for managers and specialists.
Assists with other duties, projects and responsibilities as requested; overtime as required.
Provides ongoing input on process improvements and automation recommendations.
