Title: Administrative Assistant
Key responsibilities and accountabilities:
Responsible for all aspects of general office administration, including answering incoming phone calls, maintaining a clean office, re-stocking supplies and ensuring office equipment and furniture are operational.
Help accounting department with Accounts Payable and Accounts Receivable activities including receiving incoming invoices, processing inbound payments, mailing out invoices and cutting checks.
Provide administrative support to CEO, CFO and other staff members if necessary.
Assist Marketing head in preparation of outbound mailers to prospects and investors.
Maintain calendar and schedule appointments for CEO and other executives.
Coordinate employee events, both on-site and off-site.
Follow up daily, weekly, monthly administrative task checklists
Assist with travel arrangements for employees within the office.
Create an organized filing system for key corporate documents and maintain at a high level.
Any other responsibilities or tasks as required by the organization.
Prefer at least 2 years experience in office management roles.
Strong communications skills and pleasant and outgoing personality with ability to interact with employees, customers and other visitors to the office.
Proficiency in all Open/MS Office products (Word, Excel, PowerPoint, Outlook).
Ability to work independently and demonstrated organizational skills.
Process-oriented with ability to multi-task and work in a highly efficient manner.
