POSITION TITLE: SR. ADMINISTRATIVE ASSISTANT II
DEPARTMENT: DOMESTIC SALES ADMINISTRATION
High school diploma required; Business school graduate or college degree preferred.
Five or more years of experience required.
Knowledge of company operations, products, policies, personnel and clients required; financial industry and mutual fund knowledge preferred.
Proficiency in Microsoft Word and Excel required; experience with Power Point, Access, SharePoint, Visio and internal Federated database systems preferred.
Financial background preferred.
Support managing the Administrative responsibilities for the Domestic Sales Administration team to include the Director of Sales Administration and a Manager of National Accounts. Monthly support is also provided to the Sales Analytics and Asset Retention Manager as needed.
Manage schedules to include individual, internal and external client/prospect training meetings and with input from the individuals, assess appointment and scheduling priorities.
Maintain accurate attendance records for direct reports to the Domestic Sales Administration team, the National Accounts Managers and the Sales Analytics and Asset Retention Manager.
Understand and use various system software programs at an advanced level to produce high quality reports, presentations, or other documents for internal and external use
Act as Alternate Liaison for the Sales Organization Business Continuity Plan and manage the updates to the BCP SharePoint site.
Schedule meetings, assist with preparing documents for the Mentoring Partnership for SW Pennsylvania.
Manage the Sales-Administration, National-Accounts and Share-Copy Center folders in Fileshare.
Anticipate and suggest ideas for improving processes and procedures to improve efficiencies and effectiveness; implement improvements in office time management and administrative techniques.
General Administrative functions to include the preparation of expense reports; making travel arrangements; distribution of mail; ordering of office supplies; prepare seminar/conference registrations; coordinate divisional/departmental meetings, projects, training requirements and other projects for all teams.
