The Customer Support and Administrative Coordinator is an important role at Lucas. He/she is often the first person employees see when walking into the office, and a first line of communication with external contacts. He/she will work closely with the Director of Software Services and the Controller to ensure customer and employee needs are met. The ideal candidate is highly self-motivated, professional, detail-oriented, has strong communication and organization skills, and is capable of managing his or her workload and prioritizing tasks in a fast-paced environment. Provide direct administrative support to the Director of Software Services, including:
Managing an on-call schedule
Creating and maintaining customer data sheets, ensuring all notes from team members are documented in Confluence
Light technical writing
Creating SOPs (standard operating procedures)
Writing and tracking proposals for software enhancements
Ownership of the service request survey management program
Maintaining customer updates in JIRA and list management for 3rd party call routing after-hours
Tracking customer relationships and satisfaction
The Coordinator will also be responsible for supporting the Controller by:
Acting as first line of communications when speaking with customers or key partners, including answering six incoming phone lines, composing emails, filing, faxing, copying, scanning, creating spreadsheets, distributing mail, and printing documents
Coordinating all employee domestic and international travel, booking reservations in accordance with Lucas travel policy and maximizing company savings
Effectively interacting with Lucas employee team
Assisting with general office administration duties
Associate degree required (B.A. or B.S. preferred)
Proficiency in Microsoft Office suite
Proven organization skills with strong attention to detail
Experience with scheduling and making travel arrangements
Excellent written and verbal communication skills
Demonstrates personable, positive, professional, clear and articulate internal and external customer service capabilities which are consistent with Lucas’ brand
Proven ability to adapt, and change within a fast-paced, high growth environment
Takes ownership of tasks with little or no follow up necessary
Minimum 3 years’ experience as customer service coordinator, administrative assistant or in a similar role
