POSITION TITLE: CORPORATE REAL ESTATE SERVICES ASSISTANT
DEPARTMENT: CORPORATE REAL ESTATE SERVICES
High school diploma or equivalent required; Business school graduate preferred
Minimum three years administrative experience required; financial background preferred
PC experience and knowledge of Microsoft Word, Excel, PowerPoint required; experience with Oracle Financials, SharePoint and Microsoft Outlook preferred
Fields incoming CRES (Corporate Real Estate Services) departmental phone calls; schedules and coordinates internal customer service requests with maintenance staff/submits work orders to property management.
Reconciles departmental capital, operating expense and operating escalation budgets and reporting.
Maintains and updates files pertaining to vendor insurance, floor wardens, AED trainees, CRES’s emergency contact list and required training, and weekly cafeteria menu.
Processes vendor invoices for payment; resolve invoice disputes with vendors as appropriate.
Prepares quarterly space allocation report.
Schedules appointments including coordination of company van services.
Reconciles CRES related monthly credit card statements.
Manage CRES Certificates of Insurance (COI).
Maintains and Coordinates information within CRES work order system
Acts as a liaison with property management and landlords of Federated’s leased properties and buildings.
Prepares lease and contract documents for File Share/SharePoint. Creates and maintains leasing and capital project files.
Uses various PC software packages such as Excel spreadsheets, word processing, graphics, etc., to produce high quality reports, presentations, or other documents.
Anticipates and prepares materials needed by management for conferences, correspondence, appointments, meetings, telephone calls, etc.
Assists in management details, usually of a confidential nature.
Receives and responds to routine correspondence following established procedures not requiring management review.
Collects, compiles and analyzes moderately complex data and information for inclusion in reports or presentation materials.
Performs administrative duties as assigned by the department.
