The Office Manager will organize and coordinate office administration and operational procedures in order to ensure organizational effectiveness, proper financial management and personal safety for all office occupants.
The incumbent will be customer-focused, personally reliable and extremely well organized. It is expected that the Office Manager will positively contribute to a team atmosphere through personal leadership and recommendations for employee development.
The Office Manager must be willing to remain informed on technical and professional knowledge by attending educational workshops, joining professional associations, building networks with fellow professionals and the reviewing of industry publications as deemed appropriate by supervision.
Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
The Office Manager position requires some level of expertise, and a high level of interest, in five general areas of business.
Office Administration - Experience as a Front office manager or Office administrator is desirable. The incumbent must be comfortable serving as the voice and face of the business during initial contacts with vendors, customers or the general public.
Accounting – The Office Manager serves as the primary accountant at the business. Knowledge of generally accepted accounting principles and procedures is important. Experience with general ledger accounting, A/R, A/P, payroll and inventory control is essential.
Human Resources - Knowledge of basic human resources management practices, procedures and related regulations is necessary.
IT Systems – Proficiency in relevant office software packages (for example, MS Office) and supporting data management software is important. A high level of expertise in the use of QuickBooks is essential.
Purchasing – Experience with purchase order placement and management is desirable.
Additional Salary Information: 12 to 15 hours /week part time; full time position available after 60 to 90 days if mutually acceptable; salary plus benefits
