The Administrative Services Manager is responsible for providing direct oversight of executive administrative operations and serves as the central point of contact with executives and departments. This role ensures timely and accurate completion of assignments in support of the Executive Leadership Team in meeting operational objectives and leads the administrative staff in establishing work priorities and managing the flow of assignments. In addition, the Administrative Services Manager functions as a working manager alongside administrative staff and is responsible for his or her own workload in providing a high level of administrative support to the Executive Leadership Team. The Administrative Services Manager will establish procedures and best practices and ensure implementation of those across the Enterprise.
Sets priorities, delegates and leverages staff to support the administrative needs and assignments of the executives and their respective functions. Ensures critical deliverables are completed in a timely manner and takes a hands-on approach to managing the workflow; oversees the internal Zendesk requests.
Prioritizes conflicting needs and takes a proactive approach to deadlines.
Manage administrative staff schedules to ensure appropriate levels of coverage.
Serves as the gatekeeper for executive administrative services; establishes and maintains clear communication with executives and other departments to ensure needs and expectations are consistently met and opportunity areas are identified and remedied.
Facilitates regular collaboration meetings with the executive administrative staff across the ONS Enterprise to share best practices, identify challenges, and communicate process and/or workflow improvements. Provides continuous training and communication of policies and procedures.
Represents the face of the organization with respect to external stakeholders, including ONS members, business partners and vendors. Establishes professional working relationships aligned with the ONS mission, vision and values.
Analyzes administrative operations and workflow; develops, implements and promotes strategies and standardized processes to streamline workflow and promote consistent processes across the ONS Enterprise.
Mentors the administrative staff in drafting and editing written communications, presentations, and correspondence on behalf of the Executive Leadership Team.
Functions as a working manager to include budget and calendar management, meeting, event and travel planning, expense reporting, and Board support.
Bachelor's degree in Business Administration, Management or related area of study required; minimum of 5-8 years' experience providing executive-level administrative support; or the equivalent combination of education and experience. Experience working in a supervisory role preferred.
